Custom drafting instructions and firm letterhead

Two settings let you shape output beyond what onboarding learned from your samples. Both live in workspace settings and both are managed by a firm admin.

The prompt library holds custom drafting instructions per petition type. You write them once for, say, NIW, and every NIW draft your firm runs picks them up on top of the learned voice. It is the right place for standing house rules: a phrase your partners will not sign off on, a framing you always use for a particular criterion, a length or tone preference that recurs. It is available on Pro and Enterprise, and instructions are stored per petition type rather than per matter, so keep them general enough to hold across cases.

Letterhead works differently depending on your plan. On Standard and Pro, the letterhead in deliverables is text, built from your firm settings: the firm name you want printed and the mailing address lines. Set those once and the counsel chrome on drafts uses them.

On Enterprise, you can upload an actual Word letterhead template. Templates are stored per jurisdiction and petition type, so a firm can carry different chrome for its US employment work and its Canadian work, and deliverables are generated into that template rather than into a generic one.

A few things to keep in mind:

Neither setting replaces the voice learned during onboarding. Voice comes from the samples you uploaded, and these two settings sit on top of it: instructions change what gets argued and how, the template changes what the page looks like.

If a draft is coming out in the wrong register, the first question is usually whether the voice samples were the right ones, not whether an instruction is missing. Custom instructions work best as a small number of specific rules rather than a long style guide.

  • Both settings are admin-only, so an associate cannot quietly change firm-wide output
  • Prompt library instructions apply to every future job of that petition type, not retroactively to completed drafts
  • An uploaded template applies to the jurisdiction and petition type you uploaded it against, so a firm running several lanes needs one per lane
